General Terms & Conditions

Sign Date

The date the Membership Agreement was completed electronically online via our website or onsite through self-serve or member of staff assistance.
Start Date
The date the Membership Agreement is to commence, i.e. both the date access to the arena facilities is given and the date from where subscription instalments are due. This may be the same or separate to the Sign Date.
Contract Type
Subscriptions are to be paid by Instalment. Subscriptions paid by Instalment are due monthly in advance for the duration of the Contracted Term.
Contracted Term
The minimum period in months over which access to the arena facilities is provided for payment of the associated subscription fees.
After The Minimum Term
At the end of the minimum term, the membership will continue on a month by month basis unless cancelled by you giving one month’s written notice.
Upfront Fees
Any subscription payment made in full or in part at Sign Date.
Contract Value
The total value of the Membership Type selected over the elected Contracted Term. This is the total amount the Member has committed by pay either in full or by monthly instalment.
Instalment Amount
The monthly amount a member has agreed to pay in order to complete the Contracted Term of membership selected.
Remaining to Pay
The total amount left to pay after deduction of any Upfront Fees from the Contract Value.
Payable By
The method used to pay the Instalment Amount.
Suspension
You can suspend your membership for a minimum of one month to a maximum of 6 months by giving a minimum of 7 days’ written notice. If you are subscribing by instalments a monthly suspension fee of £5.00 will apply. The maximum total period of suspension on any membership is 6 months. The period the membership is suspended does not count toward the minimum term of your membership agreement.
Continuation
On completion of the Contracted Term, the Membership Agreement continues on a month by month basis.
Cancellation
Cancellation of the Membership Agreement can only be made providing 1 full months notice, after the final payment has settled. Applications to cancel must be made in writing, no less than 30 days’ prior to the intended leaving date to: memberships@boltonarena.com or by post to Bolton Arena, Arena Approach, Horwich, Bolton, BL6 6LB
Transferring Membership
You have the right to transfer your membership to another person. This person will then be responsible for the completion of the membership contract and any remaining payments.
Cool-off Period
You have a right to cancel this Membership Agreement within 14 days of the Sign Date by giving notice in writing to memberships@boltonarena.com or by post to Bolton Arena, Arena Approach, Horwich, Bolton, BL6 6LB. Verbal or paper communication to individual centre staff cannot be accepted. All cancelled Membership Agreements within the Cool-off period will receive a full refund on of any Joining Fee or Upfront Payments made. The cool-off period is only applicable if you have not used the facilities.
Programming
We reserve the right to amend the facilities and programming at any time but notice will be displayed within the centre a minimum of 10 days prior to any change where possible.

Gym Etiquette
It is important you follow our gym etiquette guidelines available on our website and posters in-centre, our guidelines are to improve your experience in the gym and protect our members. The guidelines include things like:

  • Put your weights back
  • Clean down your equipment
  • Strictly no filming

We reserve the right to cancel your membership if you are caught exploiting our gym rules.

General Terms
We reserve the right to refuse issue or withdraw sessions and cease to provide the benefits under it, to any person who contravenes these terms and conditions or the rules and regulations of the leisure facilities. Notice of membership price reviews will be issued 1 month prior to the effective date. All membership cards are non-transferable and only the holder may use the membership card. Anyone found to be using another’s membership card will be prevented from using the facilities. All cards must be presented to our staff at reception on each visit before using the facilities and upon request by our staff at any time. Any loss of membership cards must be reported to us immediately. There is an administration charge of £2 per replacement card.
Valuables and Liability
All lockers and storage facilities are checked regularly. Lockers and storage areas are not to be used for overnight storage and are emptied nightly. In the absence of any clear negligence or breach of any legal duty, we shall not be responsible, or liable to you, for any loss of or damage to your possessions. You must check and monitor the safety of your possessions, which should be at least secured by you within locked lockers provided, if available. We do not however, give any guarantee that the lockers give any form of protection for your possessions and you are advised not to bring valuable items to our facilities. We will endeavour to ensure that the equipment and facilities are available during the advertised opening hours. We do not accept any liability for non-availability of specific facilities in connection with cleaning, repair, alteration or maintenance.
Amendment of Membership Terms & Conditions
We may from time to time amend these terms and conditions and, other than changes in monthly fees, we will display these in reception giving at least 10 days’ notice. If you do not find these changes acceptable to you, you may terminate membership prior to the amendment coming into effect.
Change of Member Details
You are responsible for providing us with any changes to your details including change of name and address immediately upon the changes occurring. If any changes require a new Direct Debit arrangement you must inform us of the new circumstances and complete a new direct debit instruction. If you fail to inform us of this change in your details or provide us with new Direct Debit Instructions, we may, at our discretion suspend your membership or cancel it. If your membership is cancelled you will need to re-join, paying any applicable additional fees.
Debt Recovery
If you fail to pay any amount due under this agreement for a period of more than 30 days, then we may pass the debt to a third party company for collection. Any reasonable costs incurred in employing a third party company will be borne by you including costs in tracing you, should you have changed your address without telling us. This guarantee should be retained by the payer.
General Data Protection Regulation (GDPR)
All personal data you supply will be kept in accordance with the GDPR. The information collected when you join one of our centres is required to set up, verify and manage your membership and to ensure you get the most benefit from our services.

If you have consented, we will send you occasional promotional and informational communications via your approved method(s). Tennis Membership Terms & Conditions

Peak Times

Monday – Friday 4pm -9pm

Saturday and Sunday 8am – 4pm

Off Peak times

Monday – Friday 7am – 4pm and 9-10pm

Saturday and Sunday 4pm – 7pm

Access times must be followed according to your membership eligibilities (specified below), failure to do so will result in your membership being cancelled.

Peak Tennis Membership

  • Provides you with court entitlement of 1 peak hour or 2 off-peak hours per day on either Tennis or Badminton courts.
  • Members must be present during the booking with up to a maximum number of 3 other players.
  • Social Tennis and Club Competition sessions are included, bookings are available from 6am 7 days in advance (5 days if you are not a paying member).
  • Booking available 7 days in advance.

Off Peak Tennis Membership

  • Provides you with court entitlement up to 2 off peak hours per day on either Tennis or Badminton courts
  • Members must be present during the booking with up to a maximum number of 3 other players.
  • Social Tennis and Club Competition sessions are included, bookings are available from 6am 7 days in advance (5 days if you are not a paying member).
  • Booking available 7 days in advance.

Tennis and Fitness Membership

  • Provides you with court entitlement of 1 peak hour or 2 off-peak hours per day on either Tennis or Badminton courts.
  • Members must be present during the booking with up to a maximum number of 3 other players.
  • Full access to Gym, Group Fitness Classes, 400m Outdoor Running Track and Sauna & Steam Room.
  • Social Tennis and Club Competition sessions are included, bookings are available from 6am 7 days in advance (5 days if you are not a paying member).
  • Booking available 7 days in advance.

When booking and utilising our courts, you must adhere to the following guidelines:

  • As per your membership court entitlement and our access times, you MUST consider how many courts you are booking during any given week. Exceeding your membership entitlement will result in your booking being cancelled, and potential risk of your membership being cancelled.
  • Upon arrival please check-in at the reception desk, you must NOT go straight to the court without checking in.
  • If you have a 2 hour booking I would like to request that you ensure that you arrive for the start time of your booking, there are many instances whereby courts are left unused for 45-60 minutes of the booking. This is time that could be used by other members, is this situation occurs moving forward the reception team will assume that the booking is a ‘no show’ and cancel the 2nd hour of the booking.
  • Booking period for our paying members 7 days, for non-members booking is 6 days.

We reserve the right to cancel your membership at any given time if our terms & conditions are not met.

Bookings & Admission Policies

Regulation of admission – All visitors must report to Reception on arrival. All gym members
using Bolton Arena Sports Village gym or classes must produce their membership card, Pay & Play
customers will be given a day card to access the gym. Those using sports facilities must
obtain a receipt from reception which they must retain throughout their visit.

Gym – All users of the gym must have an induction on their first visit. Gym users must be
over the age of 14. Proof of age may be required.

Fitness Classes Bookings – Members can book fitness classes up to 7 days in advance in person, by telephone, online or by using the app. Non-members can book Studio classes up to 5 days in advance by telephone or in person, online or by using the app. Non-members
must make payment in full at the time of booking.

If you cannot attend a class booking then you must cancel your booking via the app to
enable others to book.

Cancellations must be made no later than 24 hours before your booking. Failure to do
so could result in a suspension from booking onto classes.

Non-members who pay for a Gym or Class booking who cancel no later than 24 hour
before the class/court booking will be eligible for a refund or a credit note to be issued
for use at a later date.

Remember to check your emails or the Bolton Arena Sports Village app if you’re on the waiting list for a
class, as they will let you know if you have managed to get onto the desired session.
If you are on a waiting list but can no longer attend the session, please remove yourself from
the waiting list so that you don’t get automatically placed onto the class when a space
becomes available.

Tennis Bookings – Members can book Tennis Courts up to 7 days in advance in-person, by
telephone, online or by using the app. Non-members can book Tennis Courts up to 6 days in
advance in-person, by telephone, online or by using the app . Non-members must make
payment in full at the time of booking.

Football Pitch Bookings – Casual football pitch bookings can be made in person, by
telephone or by using the app up to 7 days in advance and all bookings must be paid for in
full at the time of booking. If the booking is cancelled a credit note is raised but no refunds
given. Block Bookings must be arranged via the Football Manager by calling 01204 488106
or email football@boltonarena.com.

Payments: Bolton Arena Sports Village will only accept cash issued by the Bank of England. We accept
payments by most major Credit or Debit Cards with the exception of AMEX.
We do not accept cheques as a method of payment.

Cancellation –
Fitness classes, Tennis and Badminton court booking’s
• For all the above bookings, a minimum of 24 hours’ notice is required to cancel.
Bookings cancelled with at least 24 hours’ notice will be eligible for a full refund or for
the booking to be transferred to a later date (Note: Bookings can only be transferred
once). Bookings cancelled with less than 24 hours’ notice will incur the full activity
charge.

Block Bookings

• A minimum of one month’s notification must be given in order to completely cancel a
block booking. A refund of any additional payment of unused sessions will be made
once the cancellation notice has been confirmed by the centre.

• A minimum of 14 days’ notice must be given to cancel a single session with the block
booking.

Course bookings

Bolton Arena Sports Village reserves the right to cancel any course.

• The customer is not entitled to a refund of the course fees for any sessions they fail
to attend.

• If the person/attendee who is enrolled onto a sports course can no longer take part
due to ill health or an injury which prevents them from taking part a refund will only be
issued in receipt of a valid medical certificate or doctor’s/hospital note.
